Privacy Policy

Flying Changes Development Coaching is committed to providing quality services and protecting your privacy. This policy complies with the Australian Privacy Principles (APPs) as outlined in the Privacy Act 1988 (Cth) and relates to all our counselling, coaching, and development services.

What is Personal Information?

Personal Information is information or an opinion that identifies an individual, including names, addresses, email addresses, phone numbers, and date of birth.

Sensitive Information (as defined in the Privacy Act) includes information about health, racial or ethnic origin, political opinions, religious beliefs, criminal records, and membership of professional bodies or trade unions.


Collection of Personal Information

Essential information we collect:

  • Your full name
  • Residential address
  • Date of birth
  • Email address

How we collect information:This information is obtained through registration forms, interviews, correspondence, telephone, email, and via our website www.flyingchangesdc.com.au. We may also receive information from third parties, and where this occurs, we will take reasonable steps to ensure you are made aware.

Why we collect information:We collect your Personal Information for the primary purpose of providing our services, along with providing information to clients and marketing. We may also use your information for secondary purposes closely related to the primary purpose, where you would reasonably expect such use.

When we collect Personal Information, we will explain why we are collecting it and how we plan to use it, where appropriate and possible.


Counselling and Coaching Records

Case records regarding your sessions are held securely and password protected. Access is closely monitored and restricted to:

  • Your counsellor or coach
  • Their clinical supervisor (where applicable for counselling services)

All access to this data is recorded and accounted for.


Use and Disclosure of Information

Use: Your information will be used only for the specific purpose of delivering your service and related activities.

Sensitive Information will be used only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose directly related to the primary purpose
  • With your consent
  • Where required or authorised by law

Disclosure: We do not share your personal information with any other party, except:

  • With your consent
  • Where required or authorised by law
  • For referral to another service (with appropriate consent)


Security of Personal Information

Your information is stored securely and protected against:

  • Loss
  • Unauthorised access, use, modification or disclosure
  • Other misuse

All data is stored in password-protected databases with strict access protocols. We may require identification from you before releasing requested information.


Storage and Retention

General information: Stored only as long as necessary for service purposes, then permanently destroyed or de-identified.

Client files: Kept for a minimum of 7 years after completion of services, then securely destroyed.

Counselling records: Upon completion of services, held in restricted archives for seven years, then securely and permanently destroyed.


Limits of Confidentiality

We are committed to complete confidentiality for everything discussed in sessions (online, by phone, or in person). However, we are required to disclose information where:

  • Evidence exists that a crime and/or abuse against a child is being or will be committed
  • Evidence exists that harm to self or another is being or will be committed
  • A criminal act under Commonwealth or State law has been or is intended to be committed
  • Records are requested by subpoena, Court Order, or Search Warrant
  • Information is requested per conditions of original service agreement
  • Information is required for referral to another service

Important: You will be advised of any request for information before it is released, except where doing so would compromise safety or legal requirements.


Access to Your Information

You have the right to access and update/correct your Personal Information, subject to certain exceptions.

To access your records:

  • Submit a written request to info@flyingchangesdc.com.au
  • Include your reason for requiring the information
  • Allow 14 business days for processing

We will not charge a fee for access requests, but may charge an administrative fee for providing copies. You cannot access information about other parties without their written consent.


Maintaining Information Quality

We take reasonable steps to ensure your Personal Information is accurate, complete and up-to-date. If you find information we hold is incorrect or outdated, please advise us as soon as possible so we can update our records.


Email and Contact Information

When you make initial enquiries, we record your email address to:

  • Establish contact with you
  • Send information about our services
  • Send registration confirmations
  • Arrange and confirm sessions
  • Request feedback after services conclude

We may request alternative contact methods for backup communication, but will only use these with your permission. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.


Website and Third Parties

We do not guarantee website links or policies of authorised third parties. When using our website, standard web practices apply.


Feedback and Surveys

Our website may occasionally include optional surveys for service feedback. This information helps improve our services. Participation is entirely voluntary.
